Missed Days

At Teddy Kids, we’re flexible! If your child needs to miss a day, let us know as soon as possible.

The following rules will apply when your child is absent.

What is a missed day?

A day marked absent is a day your child does not attend a booked contract day, for whatever reason, including illness, vacation, personal circumstances, etc. These are days you, the parent, will mark absent for your child in Zaycare.

Who makes changes to my schedule?

You have the power with our Zaycare app! Parents can and should make your own schedule changes through your Zaycare account. We ask that parents be responsible for marking days absent and for booking extra days in Zaycare as soon as possible.

Whenever possible, please do not ask the teachers to change your schedule for you. The children are the teacher's first priority. Thanks much!

How and when do I inform Teddy Kids my child will miss a day?

Parents must mark children as absent through your Zaycare account.

In the Planning calendar in Zaycare, to mark a day absent, choose the day, then the reason:

  • Not Coming (Nc)
  • Vacation
  • Sick

You'll see these buttons in Zaycare:

The labels Not Coming, Vacation or Sick make no difference to Teddy Kids’ administration. These labels are for the parents’ reference to better follow the reasons for your child’s absence. The bonus percentage awarded depends on when the cancellation was made, not on the label.

The following bonuses are available if you cancel in time:

  • 100% Voucher: If you mark you child absent 24 hours before 7:00, you will receive a voucher worth 100% of the hours of that missed day.
  • 25% Voucher: If you mark your child absent within 0 - 24 hours, you will receive a voucher worth 25% of the hours of that missed day.
  • Cash back bonus if the day is marked absent 30 days in advance:
    • 2% cash back bonus option for contracts 1 - 3 full days per week.
    • 5% cash back bonus option for contracts 4 - 5 full days per week.

Can the teacher just make the change for me?

We ask that parents be responsible for changes to your schedule in Zaycare as soon as possible. The children in the group are the first priority for the teachers. Thanks much!

What happens after I confirm that my child is not coming?

After confirming a “Not Coming/Vacation/Sick” day in Zaycare, this day becomes available to other parents. This means that you forfeit your right to use that regular contract day.

If a mistake has been made, no worries! Please let us know as soon as possible so we can reset the information.

Can I re-use a missed day?

Yes! That's what our voucher bonus is all about! If your child misses a day, then you may use the voucher from that day (expressed in hours) within 30 days OR in the previous days of the week. That's of course provided there is space available and that the schedule change was requested in Zaycare at least 1 workday in advance (24 hours from 07:00, excluding weekends).

However, missed days cannot be financially compensated nor exchanged with already booked contract days. For example, if Monday is a contract day, then a voucher may not be used for a future Monday; if Tuesday is a contract day, then a voucher may not be used for a future Tuesday, and so on.

What happens to the value of a missed day that I mark in Zaycare?

Changes made in time

  • 100% Voucher: If you mark you child absent 24 hours before 7:00, you will receive a voucher worth 100% of the hours of that missed day.
  • 25% Voucher: If you mark your child absent within 0 - 24 hours, you will receive a voucher worth 25% of the hours of that missed day.

    • 5% cash back bonus option for contracts 4 - 5 full days per week.

Changes made late
If Teddy Kids is notified of a schedule change in less than 24 hours from 7:00 of the booked contract day, then no voucher will be awarded.

Changes due to illness
If your child misses a day at Teddy Kids due to illness, you receive a voucher of 25% for that day, provided we were notified within 0 - 24 hours of the contract day and before 7:00.

If you cancel the morning of a booked day (7:00 or after), then no voucher will be awarded.

If your child misses a day at Teddy Kids due to illness, you receive a voucher of 25% for that day, provided we were notified within 0 - 24 hours and before 7:00 of the contract day.

If you cancel the morning of a booked day (7:00 or after), then no voucher will be awarded.

What if I choose the wrong label for Not Coming, Vacation or Sick?

The labels for absent days, Not coming, Vacation or Sick, make no difference in our administration. These labels are for the parents’ reference to better follow the reasons for your child’s absences. Regardless of the day being vacation or sick, for example, the percentage awarded depends on when the cancellation was made.

What is my bonus option if my child has a contract for 5 days a week?

NEW in 2020 If your child attends Teddy Kids childcare full time, we offer you the cash back bonus option.

The cash back bonus option applies only to Vacation or Not Coming status planned at least 30 days in advance.

  • 2% cash back bonus option for contracts 1 - 3 full days per week
  • 5% cash back bonus option for contracts 4 - 5 full days per week

Vouchers are still an available bonus option; we offer the choice between the voucher bonus or cash back bonus. When registering your child's absent days in Zaycare, at least 30 days in advance, the app will offer you the cash back bonus or the voucher bonus. Cool, huh?

What other rules apply to missed days, extra days or vouchers?

  • The responsibility to make schedule changes in the Zaycare app lies solely with the parent; we do not take responsibility for information being updated late. WhatsApp, SMS, text, and email are not acceptable forms of notification for absent days or booking extra days.
  • Absent days cannot be financially compensated nor exchanged with already booked contract days. For example, if Monday is a contract day, then a voucher may not be used for a future Monday; if Tuesday is a contract day, then a voucher may not be used for a future Tuesday, etc.
  • Contracted flexible days, half days (07:30-13:00 // 13:00-18:30), or any other type of days cannot be extended with vouchers nor will vouchers be awarded for shortened contract days.
  • Days booked "Extra" are final; vouchers for extra days are forfeited if cancelled.
  • Extra days are always based on our standard times and standard pricing.
  • Vouchers for 100% of the value of a missed contract day (expressed in hours) are awarded only if the schedule change was requested in Zaycare at least 24 hours from 07:00 in advance, excluding weekends).
  • Vouchers for 25% of the value of a missed contract day (expressed in hours) are awarded only if the schedule change was requested in Zaycare within 0 - 24 hours and before 7:00 of the contract day (excluding weekends).
  • No voucher is awarded for marking the day absent on the contract day after 7:00.
  • Vouchers can be used when booking extra days that are previous days in the same week of the missed day OR in the future, valid for 30 days after the cancelled contract day.
  • Vouchers from a cancelled Monday may not be used for a day in the week earlier; vouchers from a cancelled Monday may only be used after that Monday.
  • Booking extra days is only possible provided there is space available.
  • The cash back bonus option applies only to Vacation or Not Coming status planned at least 30 days in advance.
    • i) 2% cash back bonus option for contracts 1 - 3 full days per week
    • ii) 5% cash back bonus option for contracts 4 - 5 full days per week
  • Booking extra days is only possible provided there are no outstanding payments.
    • i) The bonus options are disabled if a monthly payment remains outstanding.
    • ii) After a 45-day late period, we reserve the right to cancel the privilege of the cash back bonus and/or the voucher bonus completely.
    • iii) Paying the outstanding amount in full re-activates the privilege of the cash back bonus and/or voucher bonus as of the date of payment.
    • iv) The choice you make for cash back bonus or voucher bonus is final and cannot be changed at a later date.
  • The voucher system and the cash back system are a bonus on top of our regular service; we reserve the right to change the rules at any time.
  • If you change more than 25% of your fixed schedule in a particular month, we reserve the right to switch you to our flex tariff; be advised this may lead to higher costs.
