Using Vouchers

What is a voucher?

At Teddy Kids, we’re flexible! (Did you know?) We know there will be times when your child will have to miss a day. In the event of absence, Teddy Kids offers something truly special: the voucher bonus!

There are two types of vouchers available:

#1 - 100% Voucher: If you cancel 24 hours before 7:00, you will receive a voucher worth 100% of that missed day.

For example, let’s say that according to your contract, your child is normally scheduled to attend only on Tuesdays and Wednesdays. However, next week you would like to book Thursday and Friday instead—for next week only. That’s no problem, so long as there is space at Teddy Kids. But you must make the change at least 24 hours before 7:00 of the normal contract day.

#2 - 25% Voucher: If you cancel within 0 - 24 hours and before 7:00, you receive a voucher worth 25% of that missed day.



For example, if you cancel a normal contract day at 19:15 the night before the day, then you receive a 25% voucher for that missed day.

Whatever the value of the voucher, 100% or 25% of hours missed, vouchers can be used when booking extra days in the future, and for previous days in the same week.

How do vouchers work?

One full day of childcare is booked for 11 hours.

If you mark you child absent a day on time, you receive a 100% voucher, or 11 hours.

If you mark the absence within 0 - 24 hours and before 7:00 that day, you receive a 25% voucher, or 2.75 hours.

You can use a voucher to book extra days in previous days of that same week or in the future, within 30 days of the missed days.

Then, at the end of the month you have a usage total comprising these hours:

reserved contract hours

reserved extra day hours

applied vouchers (be aware the vouchers MUST be applied during the booking process)

total hours for the month (or as we call it, “usage”)

What are the two ways to use vouchers?

1 - For the future: Let’s say your child is normally scheduled to attend only on Tuesdays and Wednesdays. You would like to book next Thursday and Friday instead—for next week only. That’s no problem! Easy peasy! (So long as there is space at Teddy Kids, plus a couple of other rules…)

  • The voucher bonus is valid for 30 days from the day marked absent.

2 - For previous days in that week: As requested by parents!

Same example—your child is normally scheduled to attend only on Tuesdays and Wednesdays. You want to cancel a Wednesday and use the voucher to book the Monday of that same week. Again, no problem. (Of course, provided we have space, plus a couple of other rules…)

  • Vouchers from a cancelled Monday may not be used for a day in the week earlier; vouchers from a cancelled Monday may only be used after that Monday.

Can I use a voucher for a half day of childcare?

Yes, you can book half days with vouchers. You cannot, however, extend half (contract) days to full days with vouchers; vouchers can only be used on non-contracted days.

Do vouchers expire?

  • Vouchers from days marked absent may be used for previous days in the same week as the missed day. For example, if you mark a Friday absent, the voucher may be applied to any day earlier in that same week, so long as it is not your normal contract day.
  • Vouchers from a cancelled Monday may not be used for a day in the week earlier; vouchers from a cancelled Monday may only be used after that Monday.
  • Vouchers may be used for days in future, too, but are valid only for 30 days from the cancelled day.

How do I take advantage of vouchers if my child has a contract for 5 days a week?

If your child attends Teddy Kids childcare full time, then we offer you the cash back bonus option for missed days.

The cash back bonus option applies only to Vacation or Not Coming status planned at least 30 days in advance.
- 2% cash back bonus option for contracts 1 - 3 full days per week
- 5% cash back bonus option for contracts 4 - 5 full days per week

Vouchers are still an available bonus option; we offer the choice between the voucher bonus or cash back bonus. When registering your child's absent days in Zaycare, at least 30 days in advance, the app will offer you the cash back bonus or the voucher bonus. Cool, huh?

What rules apply to missed days, extra days and vouchers?

  • The responsibility to make schedule changes in the Zaycare app lies solely with the parent; we do not take responsibility for information being updated late. WhatsApp, SMS, text, and email are not acceptable forms of notification for absent days or booking extra days.
  • Absent days cannot be financially compensated nor exchanged with already booked contract days. For example, if Monday is a contract day, then a voucher may not be used for a future Monday; if Tuesday is a contract day, then a voucher may not be used for a future Tuesday, etc.
  • Contracted flexible days, half days (07:30-13:00 // 13:00-18:30), or any other type of days cannot be extended with vouchers nor will vouchers be awarded for shortened contract days.
  • Days booked "Extra" are final; vouchers for extra days are forfeited if cancelled.
  • Extra days are always based on our standard times and standard pricing.
  • Vouchers for 100% of the value of a missed contract day (expressed in hours) are awarded only if the schedule change was requested in Zaycare at least 24 hours from 07:00 in advance, excluding weekends).
  • Vouchers for 25% of the value of a missed contract day (expressed in hours) are awarded only if the schedule change was requested in Zaycare within 0 - 24 hours and before 7:00 of the contract day (excluding weekends).
  • No voucher is awarded for marking the day absent on the contract day after 7:00.
  • Vouchers can be used when booking extra days that are previous days in the same week of the missed day OR in the future, valid for 30 days after the cancelled contract day.
  • Vouchers from a cancelled Monday may not be used for a day in the week earlier; vouchers from a cancelled Monday may only be used after that Monday.
  • Booking extra days is only possible provided there is space available.
  • The cash back bonus option applies only to Vacation or Not Coming status planned at least 30 days in advance.
    • i) 2% cash back bonus option for contracts 1 - 3 full days per week
    • ii) 5% cash back bonus option for contracts 4 - 5 full days per week
  • Booking extra days is only possible provided there are no outstanding payments.
    • i) The bonus options are disabled if a monthly payment remains outstanding.
    • ii) After a 45-day late period, we reserve the right to cancel the privilege of the cash back bonus and/or the voucher bonus completely.
    • iii) Paying the outstanding amount in full re-activates the privilege of the cash back bonus and/or voucher bonus as of the date of payment.
    • iv) The choice you make for cash back bonus or voucher bonus is final and cannot be changed at a later date.
  • The voucher system and the cash back system are a bonus on top of our regular service; we reserve the right to change the rules at any time.
  • If you change more than 25% of your fixed schedule in a particular month, we reserve the right to switch you to our flex tariff; be advised this may lead to higher costs.
